The challenge

The Agricultural Consortium needed to simplify the process of loading goods into warehouses and outside agencies (points of sale) from Supplier Transportation Documents (TDs), reducing the time spent on document management and allowing staff to focus on more value-added tasks.
This step was motivated by the growing importance of document management and automation of operational activities in the business sector and the desire to improve operational efficiency.

The project was inspired by an Innovation Center, which played a key role in facilitating collaboration between the Agricultural Consortium, which is part of its ecosystem, and Wenda. The Center thus brought the two together, creating a synergy that opened up promising new business prospects for both parties involved.

Our solution

Wenda pitched its Platform that integrates Machine Learning and Artificial Intelligence related to document automation.
The solution was used by the Agricultural Consortium to optimize workflows related to the loading of goods from Transport Documents (TDs), simplifying each step of the process.

In each Consortium agency and in the central office, each TD sent by suppliers is scanned and converted into an image file, and then stored locally.
The solution then allows the scanned TDs to be uploaded to the Wenda platform, where the specialized proprietary Artificial Intelligence model analyzes and processes the TDs, and then extracts relevant information from each document. This information includes VAT number, Supplier's company name, TD Date, TD Document Number, Internal Product Code, Supplier Product Code, Description, Quantity, and Unit of Measurement.

A file with this information is then automatically transferred to a space dedicated to the Consortium. The Consortium's internal management system automatically takes this file, opens an automated procedure, reads the file and manages the loading of the goods indicated in the scanned TD.

The solution uses an advanced data supervision system to ensure that every step in the process is efficient and transparent. In addition, the management of document statuses, from the loading of the scanned Transport Document to processing by the AI model, is fully automated.

The solution also offers an innovative way to manage item master data: codes in supplier TDs are converted to the company's internal codes to further simplify the goods loading process. The master data is updated regularly every 6 hours to ensure up-to-date and complete data at all times.

All this is done with minimal staff intervention (limited to a quick check of the goods to be loaded), which is therefore freed from repetitive activity and refocused on tasks with greater added value for the Consortium.

The implementation of the solution brought remarkable results:
